OVERVIEW

We are seeking an energetic, detail-oriented, and highly organized Event Assistant & Administrator to join our events team! This position is perfect for someone passionate about planning memorable experiences and supporting creative projects that connect with the Cincinnati and Indianapolis community. The successful candidate will assist with the planning, execution, and promotion of signature events, partnerships, and brand activations - playing a key role in both administrative and on-site support.

WHAT YOU’LL BE DOING

Event Assistant

  • Support the planning and execution of CM/IM events. (CM approximately 10 events per year and IM approximately 6 events per year).
  • Assist with vendor coordination, RSVP tracking, and event logistics.
  • Support event team with permits, purchases, and tracking/receiving shipped to our warehouse.
  • Reach out to prospective event vendors and manage their onboarding and on-site experience.
  • Attend and assist with setup, registration, and execution and tear down at live events (Evenings/weekend/trips to Indianapolis occasionally required).

Administrative & Team Support

  • Provide administrative support to the Event and Marketing team, including scheduling meetings, maintaining records, and processing invoices.
  • Track budgets, manage guest lists, and help with internal reporting after each event.
  • Assist with sponsor communications and fulfillment of partnership deliverables.

Marketing & Promotion

  • Liaison with the digital and editorial teams to promote events via email, social, and web.
  • Contribute creative ideas for audience engagement and experiential enhancements.
  • Help coordinate event signage, materials, and collateral as needed.

IDEAL CANDIDATE QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in communications, marketing, hospitality, or related field preferred (or equivalent experience).
  • Previous internship or relevant experience in event planning, hospitality, media, or marketing.
  • Exceptional organizational skills and keen attention to detail.
  • Strong interpersonal communication and a team-oriented mindset.
  • Excels at talking to clients on the phone, in-person and at events.
  • Positive “can-do” attitude and comfortable working in a fast-paced, deadline-driven environment.
  • Proficiency in Microsoft Office and specifically very comfortable with Excel.
  • Experience with event tools (e.g., Basecamp, Humanitix, and/or CRM systems) is a plus.
  • Ability to travel to Indianapolis to support Indianapolis Monthly events.
  • Ability to be on your feet for multiple hours at a time during events.
  • Ability to lift 40lbs.
